This policy explains what personal data seatings.org collects, why, and what you can do about it. It covers this website (seatings.org) and the seating app (app.seatings.org), together "seatings" or "the service".

Who we are

The service is run by [Company name], [Registered address] ("we", "us"). We are the controller of the personal data described here. For anything about your data, use our contact form.

What we collect

When you use the app

  • Your seating plan. The couple's names, the wedding date and venue, and everything you add: guest names, groups, plus-ones, meal choices, notes, which guests are children, tables, seats, seating rules and print settings. If you add a photo to your welcome sign, we store it too.
  • Your email address, only if you choose to save your plans to your email or sign in. We use it to send you sign-in links.
  • Cookies that remember which plans are yours and whether you are signed in. See the cookie policy.
  • Technical data such as your IP address, browser type and the time of each request, in our server logs. We use it to keep the service running and secure.

When you pay

Payments are handled by our reseller and payment partner, Freemius, Inc. (USA), who acts as the merchant of record. Freemius collects your payment details and billing information under its own privacy policy. We receive your name, email address, what you bought and when, but never your card number.

When you contact us

Your name, email address, the topic and your message, and the link to your seating plan if you add one.

Your guests' data

Your seating plan contains information about your guests. You decide what goes into it, and we only use it to provide the service to you. Please only add what you need to seat people and print their cards. Avoid putting sensitive details, such as health information, in guest notes. If a guest asks about their data, you can edit or delete it in your plan at any time, or ask us to help.

Online RSVP

If you turn on RSVP, your guests can reply on a page we host for you. They see the couple's names, the date, the venue and the names on their own invitation. What they send is stored with your plan: who is coming, the names of people they add, meal choices, allergies or dietary needs, answers to your questions, a note, and, for someone who is not on your list, a phone number or email if they give one. Only you and people you share an edit link with can see it.

For your guests' replies you are the controller and we process them on your behalf. Allergies and dietary needs can be health information; we only use them to show them to you. We never send messages to your guests, we do not set cookies on the RSVP page, and we do not use guests' data for marketing. Replies are deleted together with your plan. A guest can change their reply on their own page until your reply-by date, or ask you or us to change or delete it.

How we use your data

  • To provide the service: save your plans, show them on your devices, create your print files and let the people you share a link with open the plan.
  • To send sign-in links and messages about your purchase.
  • To take payments and handle refunds, through Freemius.
  • To answer your questions.
  • To keep the service secure and fix problems.
  • To meet legal obligations, for example keeping purchase records.

We do not sell your data, we do not show ads, and we do not use your seating plan to train AI models.

Legal bases

Where the GDPR or similar laws apply, we rely on: performing our contract with you (running the app and delivering what you paid for), our legitimate interests (keeping the service secure, improving it, answering messages), your consent where we ask for it, and legal obligations (tax and accounting records).

AI seating rules

When you use AI seating (a paid feature), we send the text of your rules and the guest and table details needed to understand them (names, groups, child flags, notes, table names and sizes) to an AI provider. They return the rules in a form the app can follow. We currently use one of these providers:

  • DeepSeek (Hangzhou DeepSeek Artificial Intelligence Co., Ltd., China)
  • Anthropic, PBC (USA)

This only happens when you add rules and arrange your guests with AI. If you would rather not send guest names to an AI provider, place guests by hand: every other feature works without AI.

Who else processes your data

We use a small number of service providers, each only for its part of the service:

  • Hosting: [Hosting provider, country]
  • Email delivery for sign-in links: [Email delivery provider]
  • Payments: Freemius, Inc. (USA)
  • AI seating rules: DeepSeek (China) or Anthropic (USA), as described above
  • Google, only if you import a guest list from a Google Sheets link. We fetch that sheet on your request.

Some of these providers are outside your country, including outside the European Economic Area. Where the law requires it, these transfers are covered by appropriate safeguards such as the European Commission's standard contractual clauses.

How long we keep data

  • Seating plans stay until you delete them or ask us to. Plans that are not linked to an email address and have not been opened for 24 months may be deleted.
  • Email addresses stay for as long as you have plans with us.
  • Purchase records are kept as long as tax and accounting law requires.
  • Server logs are kept for a short time for security, then deleted.
  • Contact messages are kept while we help you and for a reasonable time after.

Your rights

Depending on where you live, you can ask to access, correct, export or delete your personal data, to restrict or object to how we use it, and to withdraw consent at any time. Use our contact form and we will answer within one month.

You can also complain to a data protection authority. In Serbia that is the Commissioner for Information of Public Importance and Personal Data Protection (Poverenik). In the EU it is the authority in your country.

Security

We use encrypted connections (HTTPS), signed cookies and access controls to protect your data. No service is perfectly secure, so please keep your share links private: anyone with an edit link can change the plan.

Children

The service is meant for adults planning an event. We do not knowingly collect data from children under 16 as users. Couples may of course list children among their guests.

Changes

If we change this policy, we will update the date at the top. For important changes we will also tell you in the app or by email.
